No one likes to read terms and conditions. Nowadays, the majority of us don’t even bother. Our terms and conditions are listed below to ensure that you and us have the greatest trip possible. Although we sincerely hope that we will never need any of them, it is prudent to have a quick look at them just in case.

The agreement between you, the customer, and the tour operator, Scenic South Tours. is outlined in the following booking conditions. Any violations of the following T&C are the responsibility and liability of the customer listed on the invoice or booking confirmation. This agreement is in effect as soon as Scenic South Tours. confirms a reservation. Please contact us to discuss any issues you may have or if something is unclear.

Bookings

A reservation is not made when you inquire about a tour. A non-refundable deposit equal to 10% of the total booking price is needed to secure a reservation for private or multi-day tours, or full payment for one-day tours. Please note that you are entering into a contract with Scenic South Tours and accepting these terms and conditions by making a reservation.

Payment in full must be made at least 30 days before your tour’s start date. However, our goal is to assist you in realizing your ideal tour. Please contact us at any time if you require a customized payment plan.

Special Requirements

Any special needs, like medical issues, should be communicated in writing to Scenic South Tours at least 48 hours prior to the tour’s start date. We will do our best, but we cannot promise that we will be able to meet your unique request.

Dietary Requirements

If your tour includes lunch or other food options, we must know about any dietary restrictions at least 24 hours prior to the start of your tour. A regular dinner will be served if you don’t let us know about your dietary needs. Please contact us if you have any questions as we are unable to guarantee that all dietary restrictions will be met.

Price & Surcharges

Unless otherwise indicated, all of our pricing are in NZD and include 15% Goods and Services Tax. Credit card costs of up to 2.9% of the tour value or a minimum of $3 are not included in the quoted pricing.

We do not take personal checks. Both seasonal and variable pricing, which are common in the travel industry, apply to our trip rates. This implies that our trip costs could change at any time based on availability, market circumstances, and demand. It is probable that other passengers on the same journey have received varying charges. If you like the pricing you see, making a reservation at that time is your best bet. Alternatively, for a $50 NZD fee, we will keep a given price for 30 days. After you have paid your deposit, you will not be eligible for any further discounts or reduced prices. Full cancellation rules apply if you want to cancel your reservation in order to benefit from a lower price.

Our goal is not to profit from your reservation. We think you should only pay for the services you have requested. We have a NO SURCHARGE policy because of this. Only reservations made directly with Scenic South Tours are subject to this no fee policy. Depending on their policies, third-party organizations may impose surcharges on any reservations made for extra items or activities.

Scenic South Tours has the right to use debit collection services if payment is not collected by the deadline in accordance with the parameters stated in this contract. The customer will be responsible for paying all fees and commissions related to debit recovery. Every week that a debit remains unpaid, interest will be assessed at the rate of 10%.

Inclusions

The land cost of your journey consists of:

all lodging as specified in your itinerary’s inclusions section
every mode of transportation specified in your itinerary’s Essential Inclusions section
Meals and sightseeing as specified in the itinerary’s inclusions section
the group leader’s services as specified in the schedule
The cars operated by Scenic South Tours come equipped with USB chargers and Wi-Fi. These might occasionally be unavailable for a variety of reasons. Since these are free inclusions, there won’t be any reimbursement if they aren’t available or don’t work.

Exclusions 

The land price of your trip does not include:

  • international or internal flights unless specified

  • airport transfers, taxes and excess baggage charges unless specified

  • meals other than those specified in the inclusions section of your itinerary

  • visa and passport fees

  • travel insurance

  • optional activities and all personal expenses

Seat request

Scenic South Tours will try our best to fulfil seat requests by customers, but they are not guarantee unless a private tour is booked. Options are available to purchase a guaranteed premium or single seat for an additional cost.

Your Details

You must submit all requested information along with the remaining trip cost in order for us to verify your travel plans. Required information varies depending on the trip; it may include your full name as it appears on your passport, date of birth, nationality, passport number, passport issue date, and expiration date, as well as any pre-existing medical conditions that may impact your ability to finish your travel plans. Not providing the requested information could lead to extra fees or a non-refundable trip cancellation.

Cancellation Policy

Cancellation by Us

If something outside of our control, like natural disasters, political unrest, terrorism, weather, cultural conditions, or other outside events, makes it necessary, Scenic South Tours maintains the right to alter its itineraries or cancel any trip, including a guaranteed trip, at any point before departure. Anyone impacted will hear from Scenic South Tours as soon as possible.

You have the option of an alternate trip or a complete refund if Scenic South Tours cancels the trip for which you have a fully paid reservation. Any incidental costs, such as visas, vaccinations, or non-refundable flights, that you may have incurred as a result of your reservation are not the company’s responsibility. You are entitled to a refund of the difference in price if the alternate trip you select is less expensive than the one you initially reserved. You won’t be required to pay the difference in price if the alternative tour you selected is more valuable.

Please be advised that our terms and conditions may not match those of a third party, such as a travel agency, if you made your reservation through them. As they will apply, make sure to review their terms and conditions, including the cancellation policy.

If you choose to cancel a trip for any reason, there won’t be any reimbursement. This covers reimbursement for any unused lodging, transportation, activities, sightseeing, meals, or services.

Cancellation by the traveller

There will be cancellation fees if you have to cancel any or all of your reservation. Only after we receive written confirmation of the cancellation will it become effective. If a trip is cancelled:

One-Day Tours

  • More than 24hrs notice you will get full refund.

  • Less than 24 hours’ notice no refund provided

Multiday and Private Tours

  • 45 days or more prior to departure, we will retain the deposit;

  • between 45 and 30 days prior to departure, we will retain 50% of the total booking cost;

  • 29 days or less prior to departure, we will retain 100% paid by you in connection with the booking.

Our cancellation penalties are intended to compensate for the money we would have otherwise paid our service providers. We recognise that occasionally, due to circumstances beyond your control, plans must be cancelled. Please contact us to talk about other possibilities.

Weather cancellations

Unless there is a risk to the health and safety of clients, employees, or equipment, Scenic South Tours does not cancel tours due to predicted inclement weather. It is the customer’s responsibility to review the weather forecast for the tour destinations they have reserved and decide for themselves whether or not to proceed with the tour. For a complete refund on single-day tours, cancellation requests must be submitted to Scenic South Tours at least 24 hours before the scheduled departure time. Even if a customer cancels their tour with more than 24 hours’ notice, they might not receive a full refund for additional activities. Some activity providers don’t give refunds for weather-related cancellations. Before making a reservation, please review their terms and conditions.

Breakdowns

In the unfortunate event of a vehicle breakdown Scenic South Tours will endeavour to resume the tour as quickly as possible. Where a tour is impacted by 2hrs or more compensation will be considered. We reserve the right to alter the itinerary as required. Costs for activities missed due to breakdown will not be covered by Scenic South Tours. Customers are recommended to have travel insurance.
